At UPSU's Advice Service, we offer confidential, impartial and non-judgemental support on a range of academic and university issues that may affect your experience. Our team of trained advisers are on hand all year round to offer help where it's needed. The independent service works closely with the University of Portsmouth to resolve issues and ensure students are treated fairly.

How to prioritise tasks and manage time effectively

We hate to remind you this festive period, but deadlines are approaching! But no worries, you've got this!
Since you probably have more time on your hands right now, it's even more important to know how to manage it effectively and make the most out of it. Let's explore some useful steps and frameworks that can help you do just that!
STEP 1: REDUCE
Let go of the "all or nothing mindset"
It's easy to feel like everything needs to be perfect, but striving for perfection in every task can be unrealistic and time-consuming. Remember that it's okay for things to be "good enough" sometimes, and not every task needs your utmost attention and effort. Set realistic expectations for yourself and avoid unnecessary pressure.
Remember that progress is not always linear
Growth and progress can have ups and downs, and that's okay! It's important to prioritize and focus on the most important tasks that align with your goals and deadlines, instead of trying to do it all.
STEP 2: PRIORITIZE
Useful tools
Prioritization is key to effective time management. One useful tool is the Eisenhower Matrix, which categorizes tasks into four quadrants based on urgency and importance. This can help you identify which tasks need immediate attention and which can be delegated, postponed, or eliminated. As a student, you may not always have the option to delegate or eliminate assignments. So here is a simplified version of the matrix:
Set realistic deadlines
Breaking down big projects into smaller tasks and assigning realistic deadlines can help you stay on track and avoid last-minute rushes. Consider your own pace and workload when setting deadlines, and aim for achievable and motivating targets.
STEP 3: PLAN
Create a to-do list and schedule
Having a plan in place is crucial. Start by creating a to-do list for your day, week, or month, and estimate how long each task will take. Then, create a schedule by allocating specific time slots for each task using a calendar app or a physical planner. This gives you structure and direction for your day. Google Calendar is great for this because you can use it on your desktop and phone!
Batch similar tasks together
When scheduling tasks, try to group similar ones together. For example, if you have multiple readings or assignments, try to do them all in one block of time. This can help you maintain focus and save time by avoiding unnecessary context switching.
STEP 4: EXECUTE
Take breaks
Resting and taking breaks during busy periods is important. It can help recharge your mind, reduce stress, and prevent burnout. Remember to give yourself some time to relax and rejuvenate.
Celebrate achievements
Acknowledge and reward yourself for progress, no matter how small. Celebrating small wins, such as completing a task or achieving a milestone, can provide motivation to keep going and reinforce positive behaviours.
Remember, effective time management is about finding what works best for you and your unique situation. By reducing unnecessary stress, prioritizing tasks, planning ahead, and taking breaks, you can make the most of your time and avoid feeling overwhelmed. You've got this!
